How SISMA collects, uses, and protects your personal information

SISMA is committed to protecting the privacy of its members in accordance with the Privacy Act 1988 (Commonwealth).

    SISMA Incorporated ("SISMA") is a non-profit community association incorporated under the Associations Incorporation Act 2009 (NSW).

  2. 1.2

    This Privacy Policy explains how we collect, hold, use, and disclose personal information about our members and website visitors.

    By becoming a member of SISMA or using our website, you agree to the terms of this Privacy Policy.

Information We Collect

We collect personal information necessary to manage your membership and communicate association activities.

  1. 2.1

    Name, email address, phone number, and residential suburb (required for membership registration under Clause 6 of the Constitution).

  2. 2.2

    Membership type (General or Associate), payment status, and membership dates — maintained in the Register of Members (Constitution Clause 7).

  3. 2.3

    Photos or identification information submitted for the purpose of issuing a SISMA Digital ID Card.

  4. 2.4

    Event registration details when you sign up for SISMA programs or events.

How We Use Your Information

  1. 3.1

    To manage your membership, including issuing renewal notices and maintaining the Register of Members.

  2. 3.2

    To communicate upcoming events, AGM notices, and other association business through our official communication channels.

  3. 3.3

    To issue digital membership ID cards.

  4. 3.4

    To comply with our obligations under the Associations Incorporation Act 2009 and the Privacy Act 1988.

Sharing of Information

  1. 4.1

    SISMA will not use or disclose your personal information for purposes other than those described in this policy, except as required by law.

  2. 4.2

    The Register of Members may be made available for inspection only to financially current members, showing names only, with a minimum of 14 days' notice (Constitution Clause 7.3).

  3. 4.3

    Any person accessing the member list must sign a declaration that the information will only be used in compliance with the Privacy Act 1988 (Constitution Clause 7.4).

  4. 4.4

    Committee members, portal administrators, and auditors may access member details for administrative purposes and must sign a non-disclosure agreement (Constitution Clause 7.7).

§5

Data Security

  1. 5.1

    All membership records are maintained electronically with secure access (Constitution Clause 50).

  2. 5.2

    The Secretary and Treasurer, as custodians of member records, are jointly responsible for ensuring the security of personally identifiable information (Constitution Clause 7.10).

  3. 5.3

    At the end of each committee term, all copies of the membership register must be handed to the Secretary and/or Treasurer (Clause 7.8).

Your Rights

  1. 6.1

    You may request access to your personal information held by SISMA by contacting the Secretary in writing.

  2. 6.2

    You may request corrections to any inaccurate information we hold about you.

  3. 6.3

    Membership registration information cannot be deleted while you remain a member but will be removed upon cessation of membership.
